What you will be responsible for:

  • Meet and greet visitors to the Manila office

  • Ensure office environment operates efficiently, reception and office areas are kept clean and tidy

  • Oversee office equipment and facilities, ordering of supplies e.g. stationery, kitchen and beverages

  • Manage incoming/outgoing mail and local/international couriers

  • Create and implement new standard office policies and procedures (newly created office)

  • Manage and issue security passes for office and building, liaise with building management e.g. maintenance requests, liaise with afterhours security, first aid officer, floor fire warden

  • Super user" and local support person for the Manila office regarding travel bookings (Egencia online travel booking system)

  • Organise gifts/ certificates for staff anniversaries; jubilees; farewells and birthdays for the Manila office

  • Manage internal SharePoint sites for sharing documents as needed

  • The office manager will also serve as the event manager:

  • Manage the internal meeting rooms including manage bookings; room set-up prior and post meetings; keep rooms clean and tidy; set up video conferencing and other virtual meetings

  • Assisting on internal events across Manila - venue bookings, invitations and other logistics

  • Assisting sales & marketing teams on external client events across the country

The office manager will also serve as the event manager:

  • Manage the internal meeting rooms including manage bookings; room set-up prior and post meetings; keep rooms clean and tidy; set up video conferencing and other AV meetings

  • Assisting on internal events across Manila - venue bookings, invitations and other logistics

  • Assisting sales & marketing teams on external client events across Manila.
